Unto the Populace of the East Kingdom, Greetings. This notification is being published to document the situation below, and request assistance.

At the Curia Regis held in at the Great Northeastern War (GNEW), the Order of the Golden Mantle was made an Order of High Merit, and the Order of Artemis was merged within this elevated recognition.

This means that all Companions of both Orders (now one) have a voice that can be heard by the Crown for future recommendations to grow the Order.

The Discussion and Polling Listserv have been set up for this, as is the policy of the East Kingdom.

However, we do not have a listing of your contact information to add you to these Lists and need your help!

You may Register for access to the Discussion List here: https://lists.eastkingdom.org:10000/virtualmin-mailman/unauthenticated/listinfo.cgi/discuss-ogm and can begin communicating with the Royals as well as the other Companions of your Order once approved.

There is no Moderator for this Discussion List yet, so if you would also like to volunteer for that position, please let me know directly at discuss-ogm@lists.eastkingdom.org so that I may set you up. Until a Moderator is determined, I will be verifying your access to the List.

To be added to the Polling List, which is where the notifications of a new Polling is distributed through, please contact the Clerk of the Polling Lists at polling@eastkingdom.org to be added after being verified.

Greetings to the Populace of the East Kingdom from the Webminister,

A few reminders about changes that have affected the East Kingdom Event Calendar, and what it means to you; Especially for Seneschals and Event Stewards (Autocrats).

As of January 1st, 2014 all East Kingdom Seneschals must have an official email address of seneschal@localbranch.eastkingdom.org hosted on the East Kingdom server. If you do not currently have one, you are not in compliance with this Office of the Seneschal policy. Please contact your Local branch Webminister for the email box creation immediately.

This is even more important now with the East Kingdom Email Box Transition Project well underway.

As of February 1st, 2015 the East Kingdom Event Calendar process has been updated to follow East Kingdom policies regarding approval of the submission. Please see below for what the current process is:

When an Event Steward submits an Event to the East Kingdom Event Calendar using the website http://www.eastkingdom.org/NewEvent.php and hits “Next ->”, reviews the entry and then hits “Send”, two things now automatically happen.

1) An email is sent to the submitting Event Steward for any future updates, and the link provided will be used to perform that function. As stated on the submission form “Be sure to enter your real email address, as without a valid email address the update and password reset systems will not work.”

Please make certain that you are choosing the correct Hosting Local branch as well as that tells the submission where to place the location.

Additionally, if you do not receive an e-mail with instructions on how to edit your announcement within 24 hours, please e-mail “eventform-help@eastkingdom.org” instead of the Webminister email address directly. This will ensure proper handling of your issue.

2) An email is sent to the Local branch Seneschal for approval of the submission. The Seneschal is the Officer required to review the entry and verify that it meets with the criteria of a Kingdom Event submission as found in the policies of the Office of the Chronicler regarding such an entry. If it does meet these requirements, when the Seneschal clicks on the “Approved” button, the entry will show on the Calendar immediately.

This change announcement was initially sent out on January 27th, 2015 to all Webministers through the Mailing List and to all Seneschals that had valid email addresses, as “East Kingdom Event Calendar Approval Process Change”.

I continue to receive emails about pending Events that are not displaying on the Calendar, and for 99% of them it is the Local branches that need to update to be in compliance that are the cause of these inquiries.

Greetings All East Kingdom Seneschals and Event Stewards

Policy & Procedure Change

East Kingdom Event Calendar Approval

Effective Immediately

All new East Kingdom Calendar submissions will be reviewed and approved by the Local branch Seneschal when submitted to the EastKingdom Calendar through the New Event form on the East Kingdom Website.

Thanks to the efforts of the Calendar Deputy, the system has been updated to allow the creation of an Approval form in which the followingprocess will be active for the Kingdom.

1) http://eastkingdom.org/NewEvent.php remains the same, and anyone can submit an Event to the system for any group.

2a) The update email will be generated and sent to the submitting member through the listed email address *** AS LONG AS IT IS A VALID EMAIL ***. (Please stress to all Seneschals and Event Stewards that this entry must be valid. Using bubba AT mymail DOT com will not send the email. It must be bubba@mymail.com to work.)

2b) NEW: An Approval Email will be generated and sent to the Seneschal of the Local branch that the event has been submitted for. For Incipient branches, Out Of Kingdom Event submissions and groups that for some reason do not have seneschal@group.eastkingdom.orgactive (which is a Seneschallate Policy), they will default to the East Kingdom Webminister for review. They will **NOT** be lost.

3) The Seneschal will review the submission for the elements required by the Kingdom Office of the Chronicler for inclusion in the KingdomNewsletter (“Pikestaff”) found here: http://chronicler.eastkingdom.org/pikestaffpolicies/index.htm under C. Regular Content, 1. EventAnnouncements.

4a) Once verified that the submission is valid (Incomplete entries can still be valid), the Seneschal will click on the ‘Approve’ button and theEvent will be able to be seen on the Calendar.

4b) If for any reason the Seneschal feels that it is incomplete, they will reach out to the submitter and request updates. Once those are complete, the Seneschal will click on the Approve button.

Instead of the normal 7 to 10 Day wait for the Event to show on the East Kingdom Calendar, this new system should reduce the wait time to a day or two, or even less.

There will be additional expansion to the East Kingdom Calendar that will build off of this change and allow additional versatility to the use of the Calendar system.

The previous policy as of  6/30/2014 – East Kingdom Webminister Polices 2013,

II. Requirements,

– b. Hosted sites:

i. The service provider maintains the server environment on which your site is stored. Hosting is available free of charge on the eastkingdom.org server for recognized local group websites. This free hosting includes a sub‐domain name of your choosing appropriate to your local group, direct FTP access, and a mail administration interface to moderate officer email accounts. For free hosting on the eastkingdom.org server, please contact the Kingdom Webminister.
ii. It is required that recognized SCA websites be hosted on an account to which more than one person has access, rather than a personal website owned by one of the members. This will ensure that a recognized website does not go down or go stale should an individual member move or quite the group. Administrative passwords for SCA Internet sites should never be kept by a single person. At a minimum, passwords should be maintained by the Kingdom Webminister and Kingdom Seneschal.
iii. Recognized websites may never be hosted on a service that requires banner or pop up advertising.
iv. Only recognized websites will be linked from the local groups’ page on the eastkingdom.org website (http://www.eastkingdom.org/branches.html). Local groups that do not have a recognized website will be listed under Households, Guilds and Other Resources.(http://www.eastkingdom.org/links.html).

– c. Warranting

i. Once a local group has selected a Webminister that is acceptable to the group, the Webminister must apply to the Kingdom Webminister for a warrant. All local group webministers with an official website must be warranted. Webministers at Large and Royalty webministers must also become warranted. Guilds, webministers for Kingdom offices, and household webministers are NOT warranted.

Hosting is available free of charge on the eastkingdom.org server for recognized local groups and all Kingdom Officer websites. This free hosting includes a sub‐domain name appropriate to your local group as group.eastkingdom.org or office as office.eastkingdom.org, direct FTP access, and a mail administration interface to moderate officer email accounts. For free hosting on the eastkingdom.org server, please open a Service Center ticket under “Request Webspace” to contact the Kingdom Webminister.
ii. It is required that recognized SCA websites be hosted on the East Kingdom server. This will ensure that a recognized website does not go down without notice or go stale should an individual member move or quit the group. This also allows the Office of the Webminister to assist in the support of the group website as needed. Administrative passwords for SCA Internet sites should never be kept by a single person. At a minimum, passwords should be accessible and/or maintained by the Kingdom Webminister and Kingdom Seneschal.
iii. The use of “vanity” website addresses will be allowed only if it re-directs/points to the official East Kingdom hosted site on the EK server. No duplicate information or storage off server can be allowed for ease of website support and legal reasons.
iv. Only recognized websites will be linked from the local groups’ page on the eastkingdom.org website (http://www.eastkingdom.org/branches.html). Local groups that do not have a recognized website will not be linked.
v. Households are not considered recognized entities under SCA, Inc. or EK Law and will not be able to be hosted on the East Kingdom server.
vi. The website will also be backed up on a time line basis, meeting the requirement of perpetual accessibility should a failure in hardware, software or access happen to any site.

II. Requirements,  c. Warranting

i. Once a local group has selected a Webminister that is acceptable to the group, the Webminister must apply to the Kingdom Webminister for a warrant. All local group webministers with an official website must be warranted. Webministers at Large, webministers for Kingdom Offices, Guilds hosted on the EK server and Royalty webministers must also become warranted.
ii. Guilds not hosted on the East Kingdom server and Household webministers do not have to be warranted, but can be for record keeping. Warrant does not grant access to the EK Server for off server sites.

III. Financial Responsibilities

d. The East Kingdom Webminister requires local groups and Kingdom Offices to use the free hosting services available at eastkingdom.org. This free hosting includes a sub‐domain name appropriate to your local group as group.eastkingdom.org or office as office.eastkingdom.org, direct FTP access, and a mail administration interface to moderate officer email accounts.
